1. Job Purpose

The Facility Supervisor will work with the Facility Manager to ensure that all facility services are delivered to our internal customers as per best practice standards, in accordance to the requirements and as per the contracts signed with the various service providers

The Facility Supervisor will be managing the day-to-day activities of the facility assigned to him

The Facility Supervisor will supervise specific tasks as requested by the Facility Manager and provide management support as needed to all program components

The Facility Manager Supervisorwill be primarily responsible for the facility operation of Tower T6 and act as an operational backup to the MSC Facility Manager

2. Key Result Areas

 

Manage Facilities Management Operations for Tower T6 at the Major Service Centre location in Cairo. The Deputy Facilities Manager will be responsible for the efficient operation of building T6.

Deliver day to day services to the OBS teams located in the tower, to ensure comfort and support to business needs

Work closely with customers, peers and subordinates to foster close win-win working relationship, provide quick answer to expressed needs or concerns

Support the efficient maintenance of the facility in a cost-effective manner, implementing the Facilities Management norms over tower T6.

Record keeping for all activities i.e. Repairs, maintenance, etc. for T6, using OBS internal tools

Other administrative duties as directed by the MSC facility Manager

Documentation & Processes. Ensure adequate documentation and processes are in place to support the site. These documents and processes are to allow continuous operation of the site regardless of staff movements, availability, and transition.

Governance. Operate the facilities in a manner that complies with local laws and regulations. Implement company security and facilities related policies.

 

Contract Management for Outsourced Services:

Critical Systems. Maintain critical systems including UPS power, precision air conditioning, alarm systems, and fire suppression systems. Ensure regular and systematic proactive maintenance is performed, and appropriate response and action plans are in place in case of failure.

Security. Manage the security at the site to minimize external security threats and intrusion. Protect against internal risks. Manage the operation of the security system, in compliance with Orange Business Services security requirements. Interface with local authorities. Establish a reaction process to handle high risk events including BCP as appropriate.

Housekeeping: Manage the housekeeping of the site, including the services provided by sub-contractors. Ensure the site is always clean, neat and tidy, and well organized.

Maintenance. Maintain the MSC to a high standard of repair. Ensure maintenance occurs promptly and is implemented to the correct standard and quality.

Reception and Mail Services. Ensure the reception service operates efficiently and effectively, including the handling of mail and courier services.

General Facilities Services. Ensure that all general facilities services such as meeting rooms, reprographic facilities, storage and many other general facilities services are operated efficiently and to a high degree of internal staff satisfaction.

Cafeteria and Food Services. Ensure the staff food services in the cafeteria are provided to a high standard. Monitor food quality and seek feedback from staff in real-time and via a food committee. Maintain a high level of cleanliness. Monitor food and tuck shop services for freshness. Provide feedback to catering and tuck shop suppliers.

Provide Consistent and Regular Status reporting to the Cairo  MSC Facility Manager indicating the progress in all areas of the portfolio

Communication:

Provide pro-active and quality communication to MSC users and the MSC Facility Manager. Anticipate facilities related issues in advance, create and implement action plans.

Communicate all Policy related guidelines, important information from time to time to all MSC employees.

3. Skills and Knowledge (State the minimum acceptable proficiency for this job.  Do not state incumbent-specific information)

 

Educational Qualifications:

Graduate or Post Graduate or Post Graduate in Business Administration or Diploma in Office Administration. Engineering qualification will be preferred

 

Relevant Experience: 5-6 years in over all Facilities Management and 3-4 years in similar capacity.

 

 

Desired skills/knowledge: Strong decision making skills, Entrepreneurial, Flexible, Self-motivated,  & focused Team player, Business oriented, excellent communication both written and oral, ability to work in a multi-cultural and international environment, strong Interpersonal skills. Experience managing facilities projects, Good negotiations skills, Fluent in English. Competent with managing a budget and general facilities related finance issues. Proficient with Microsoft Word and Microsoft Excel, and using web based tools and databases.
