Travel: Book travel (flights, accommodation, etc) according to company policy in online tools including managing approvals and special case issues. Create and manage associated expense reports.
Shows, conferences, events (US and international) : coordinate registrations for travelling Sales Team members; arrange and manage all meeting requests with customers. Coordinate with other Orange participants. Organize bi yearly regional Sales kick off (budget validation, accommodation, food, travel, agenda, contributions…)
Weekly reports : coordinate in a timely manner various inputs for submission to Managers and/or VP
Credit support: Update credit files on SharePoint & liaise with Finance USA, Account Managers & Credit Mgmt.
Sales support: Review order validation request in contract tool; Follow up on pending validations for Account Mgrs. Send NDAs and other documents via Adobe for e-signature. Archive signed orders & contracts.
Admin: facilitate start of new hires in the team (tool access, IT...). Maintain and update org charts and various Sales presentations
Social Media: coordinate with Group Communication on posting team event participation on Twitter, LinkedIn etc…
Provide research, input, analysis,as needed to ensure understanding and support of Sales’ needs and activities
Interface with international customers (contract, orders, e-signatures…) and scheduling of meetings at shows/events
Backup for Sales Operations Specialist during vacations/absence
votre profil
Minimum bachelors degree in related field
If no degreee, at least 5 years’ experience in executive level support role or Internship in an international High tech/Telecom group or similar field
Must be able to work autonomously
Comfortable using technology and various platforms
Fluent and polished written and oral communication skills in English.
Spanish is required and French is very desirable.
Excellent skills using Microsoft applications suite (especially Excel and PowerPoint)
Use of Microsoft’s CRM software system
Oracle purchasing tool experience desirable.
Posting on social media related tools within company guidance (Twitter, LinkedIn, Intranets, SharePoint…)
Strong experience in creating innovative and exciting presentations
